Role: Transport Administrator

Day Rate: £16.17 per hour inside IR35

Location: Oxford

Duration: 3-month period and may convert onto permanent

We are looking at Grade 5 Transport Administrator role - list of main duties included below.

Experience required for post:

Good knowledge of Microsoft office, excel spreadsheets and social media communication techniques.

Excellent organisational and customer service skills.

Overall purpose of post:

To provide administrative support to the Transport Solutions Manager, with specific responsibility for administration of car parking permits, and bus passes. Responding to customer queries, communication transport messages and promoting services.

Main duties:

Bus Administration

  • to liaise with the Bus Company and other stakeholders to collate relevant information regarding the operation of the bus contract;
  • to arrange efficient processes for the issuing and sale of bus passes to staff and students, maintaining accurate records of all transactions;
  • to ensure that literature and communications regarding the bus contract are accurate and effective eg timetables, transport updates etc.;
  • to analyse bus usage figures to advise manager of service issues.

Car Parking Administration

  • to administer the process of staff and students to apply for and receive car parking permits and ensure appropriate charging is applied;
  • to provide administrative support for parking permit appeal panels;
  • to support the enforcement of car parking policy.

Sustainable Transport

  • to liaise with service providers to support sustainable transport solutions, eg bike doctor, car club, car share;
  • to actively promote sustainable transport solutions in furtherance of University Policy.

Communication and Liaison

  • to keep relevant web pages up-to-date and liaise with partner organisations regarding the information they display on their websites to ensure it is accurate, user friendly and meets branding guidelines;
  • to liaise with internal and external stakeholders on transport matters and to collate relevant data;
  • to answer queries from a variety of sources including telephone, email, face to face and social media, on matters relating to transport;
  • assist with events promoting sustainable travel, producing communications to raise awareness.

General Administration

  • to support the production and analysis of the travel survey;
  • to collate data and produce generic and specific reports as required;
  • to arrange and service meetings;
  • to support the monitoring and management of Key Performance Indicators for contract providers;
  • to process cash, cheques and credit card payments from staff and students, and checking staff loans have been processed correctly;
  • to reconcile and bank any receipted money;
  • to design and maintain efficient administration process to support the Transport Solutions Manager.

Casual Staff Supervision

  • to support the recruitment, supervision, training and briefing of casual staff employed to support transport matters, eg issuing of bus passes, conducting surveys, promotional;
  • support the rotering of casual staff to ensure all duties are covered within budget restraints.

Other

  • to support University events eg Open Days.

Background:

The Business Continuity and Assurance team within the Cyber Security Department defines, establishes and provides information assurance. The team manages regulatory adherence for security, supports security response to external RfPs, manages client queries regarding security policies/controls, provides assurance in response to client due diligence, and manages the first-line internal controls framework. These sub-functions collaborate across security capabilities, with IT and business teams and functions such as HR, Risk Management and Compliance.

Role:

Based on our consolidated of IT Assets Inventory, the objective of the project is to obtain a differentiated view of business applications risk profile according to their Confidentiality, Integrity and Availability, aligned with bank's risk management methodology:
- Evaluating the inherent risk of the application from a business perspective;
- Assessing separately the financial impact, the regulatory impact and the client impact in case of respectively confidentiality, integrity or availability incident;
- Ultimately slotting the applications in one of the 5 buckets of different risk profile.
Assessments will be conducted through workshops with business owners of the applications, business managers, Risk Management and enterprise architects.
This project is key to support the prioritisation for the deployment of the bank's security initiatives.

Profile:

Handles standard situation by relying on existing procedures and methods, covering several but known domains of expertise.
Relies on existing processes and policies to take decisions.
Focuses on execution in domain, according to defined processes and methods. Runs and maintains the operational process.
Works autonomously on standard activities or non-complex demands. Organises, co-ordinates and plans activities independently. Priorities are set by the job. Uses expertise to challenge the goals and scope of new requests and evaluates the impact of these new requirements.
Knowledge of security risk management, risk governance.
Strong oral and written skills to translate complex risk requirements.
Experience with security and controls frameworks, such as ISO 27001, COBIT5, SANS Top 20 Controls and NIST Cybersecurity Framework.
Experience with audit good practice.
Knowledge of onsite risk assessments and managing targeted risk remediation activities.

You will be a coordinator, to make sure laptops, telephones, phones and wireless devices are inactivated and returned to vendors to be inventoried for use by others.
