A growing company in Aldermaston are looking for an enthusiastic, reliable, committed and flexible Office Facilities & Events Co-ordinator to work 25 hours per week on an initial 3-month contract with a view to go permanent and salary offered is £23 - £30k depending on experience.
You will perform a varied type of administrative functions in the organisation, support department heads and serve as a 1st point of contact between the company and its visitors.
Responsibilities:
ADT Alarm Systems: Manage yearly service, potential faults, and contract renewals.
AquAid: Oversee yearly service, potential faults, and contract renewals.
BT: Handle broadband/telco issues, liaise with Germany for new setups, and manage invoice downloads.
Gas & Electricity: Conduct monthly meter readings, yearly contract reviews & invoice downloads.
Water: Monitor contract, manage invoices.Facility Management:
Cleaners: Supervise cleaners, ensure quality.
Fixed Asset Register: Perform yearly reviews, ensure log accuracy & notify finance of disposals.
Pool Car: Manage MOT, service, tax, and repairs.Supplies & Orders:
Weekly/Bi-Weekly Food Shop: Manage as needed.
Stationery Cupboard: Replenish general stationery, IT stock, and electrical & multimedia supplies to ensure smooth office operations.
One-off Stationery Requests: Handle Amazon and IT/warehouse orders.
Process invoices accurately for UK and SA departments.Bookings & Events:
Travel Bookings: Arrange accommodations, cars, and flights for visitors and the UK team.
Event Organisation: Assist in planning and arranging customer events/trainings, welcoming guests, organising & overseeing the catering, setup of hardware, organise giveaways and print media for events.
General Marketing: Collaborate with Marketing HQ on mailshots and campaigns.Salary offered is between £23 - £30k along with 30 days holiday and 8 bank holidays.
(Pro rata salary and holidays for 25 hours) Bupa healthcare and pension up to 4% and a yearly bonus is also given depending on company performance. The hours are 25 per week,
Monday - Friday between 8.30am - 5.00pm so a flexible start time, onsite parking, excellent open plan offices and some international travel might be required. Due to the location, you must drive and have your own transport
