My client in the Brandsburton area require an experienced candidates for an Admin Support Role.
OBJECTIVES:
To provide an effective administrative service to the
production department
GENERAL
1. To assist the Clerical Services and HR function, as directed, in order to fulfil
the objectives listed below and those of the Department.
2. To assist the Factory Manager, as directed, in order to full fill the objectives of
the department as listed below.
3. To assist the HSQE officer, as may be required
4. To assist the HR Manager, as may be required
TELEPHONE
1. The quality of this service is a high priority. Pass on callers, take messages
and monitor absences – informing supervisors of any staff not attending work.
Cover 8:00am to 5:00pm, Monday to Thursday and 8:00 – 2:00pm Friday.
2. Maintain visitor and staff attendance books on a daily basis. Complete the staff
attendance book by 10:00am daily.
3. Complete attendance report for submission to the HR Manager by 2nd of every
month.
4. Remove the visitors and attendance books outside the premises and make
available to the Fire Warden in the event of an evacuation.
HUMAN RESOURCES
1. Timesheets. Check all received on a Monday morning and note any missing
sheets. Make a copy for the agency. Send completed sheets to Wakefield and the
copy for the relevant agencies.
Collate weekly from time sheets the hours used on unproductive, training and
maintenance labour and report to factory manager.
2. To book all Holidays (TBS and Agency) onto the holiday system within two
days of them being received. Maintain holiday information on the wall chart
planner
3. To distribute contracts and new starter packs to all new factory starters as
directed by the HR department
4. Make and issue new starters with clock card and remove from the system any
leavers clock cards. Make and issue works passes.
SECRETARIAL
1. Provide a complete typing service for all external correspondence and internal
memos.
2. Comply with standard layouts. Check work for correct grammar, spelling, etc.
and advise writer if required. Maintain a high level of presentation and
accuracy especially for external correspondence.
3. Opening and distribution of incoming and internal mail and faxes as
appropriate. Franking and / or carriage for outgoing mail.
4. Provide clerical support as necessary.
5. Maintain a tidy office and work area.
6. Maintain required files on Windows software in accordance with file
arrangements.
7. Attend and take, type and distribute minutes and agendas for:
Health & Safety meeting if required
Production Meeting if required
SERVICES
1. Fax and photocopy as required.
2. Filing. Maintain your own and Company filing system. Provide assistance with
archiving.
3. Provide food and drinks etc. for visitors and staff meetings and ensure their
removal on completion of the meeting.
4. Maintain stationery stocks.
IT IS THE DUTY OF EACH EMPLOYEE TO:
1. Understand the Group’s policy of Quality Assurance and ensure compliance
with documented procedures, in particular with regards to IS0 9001.
2. Read the Company's Health and Safety Policy and Employment Handbook and to be
familiar with the company Health and Safety Policy, Systems and arrangements
whilst recognising personal duty of care for your own safety and that of others.
Cooperating, communicating, training and enforcing Health and safety Systems to
continually develop the company safety culture and aid in the improving of safety
systems irrespective of departmental boundaries (see section 2 of the company’s
policy and arrangements document).
3. Ensure correct health and safety procedures are followed at all times.
4. Comply with notices and regulations relating to warnings, fire and smoking
within the Company’s premises and sites.
