Fairhive is a non-profit affordable housing provider with ambition. We already provide affordable housing to more than 20,000 people in our community but we want to do more. That’s why we are striving to provide 1,000 additional homes by 2025.
As PA to the Assistant Director of People you can expect a varied workload and to be a valued member of our team, providing administrative support, essential to the smooth running of the business.
About the Role
We are looking for an organised administrator with excellent attention to detail and the ability to multi-task to provide essential administrative support to the Assistant Director of People and the wider People and Performance team.
On the Job you will:·
Support the Assistant Director of People and the wider People and Performance team in the facilitation and delivery of a wide range of administrative duties.
Undertake relevant project work as required, including ownership and management of Fairhive’s Grants Programme – The Thriving Communities Fund
Manage and maintain an effective diary system in a systematic and structured way and demonstrate prioritisation, allocation and organization of appointments.
Work as part of the wider Business Support Team engaging and supporting other EAs and PAs across the business as required and in line with the buddy coverage system.
Arrange meetings, including booking venues, arranging catering.
Prepare agendas and all meeting prep including presentations. Attend required meetings, take minutes and draft for circulation.
Undertake a range of secretarial duties for the People and Performance Team.
Assist with the preparation of reports (including Board and ELT reports) and presentations, including relevant material, research data and original correspondence.
Develop, establish and maintain appropriate electronic and paper based administrative systems.
About You
We’re looking for someone who can take ownership of a variety of administration tasks and who enjoys working with a diverse range of people. You will understand the importance of delivering an efficient and effective service to colleagues and customers.
For this role you will need to be:
Numerate and literate, educated to GCSE level, or equivalent
Organised with excellent time management skills.
An experienced administrative professional with good prioritisation skills and the ability to provide high quality support to senior managers.
A practical problem solver with a 'can-do' attitude.
You will ideally have skills and attributes that include:
A sound knowledge of the processes and procedures within the Finance & Resources directorate and have a strong understanding of Fairhive’s work
Experienced in supporting at a senior level with exposure to HR initiatives, communications, and programme management. Demonstrates a strong understanding of corporate terminology and a solid grasp of the work within a people engagement function.
Good IT skills and be proficient in the use of IT applications such as Outlook, Word, Excel, PowerPoint and Teams
Have the ability to research and collate information to enable reports to be prepared
Strong verbal and written communication skills and the ability to understand and exchange information that might be complicated
