Require x1 experienced business support officer to work within responsive repairs. Functions will include experienced/senior level administrative functions and ad hoc tasks to ensure that the service as a whole runs smoothly. three days a week in the office based in Peckham
Responsible for the delivery of the highest quality outcomes and effective, proficient support to officers within Governance and Assurance, internal and external stakeholders.
To ensure the support provided is cost effective and customer focused, and to support the service and council in ensuring that the principles of good governance in decision making is achieved.
1. To be responsible in delivering and developing administrative processes and project support, this will require identifying and implementing solutions to complex problems, ensuring all solutions are effective and efficient. . Work in partnership with relevant areas of the department and coordinate responses to enquiries made by internal and external stakeholders.
2. Work alongside the Business Support Team Leader in the delivery of Service activities and the development of the administrative process that support the work of Governance and Assurance to ensure that data is up to date, accurate, valid and reliable, organising data cleansing when required.
3. To take and issue accurate minutes of meetings and to follow up action points, ensuring this is completed to agreed deadlines and standards of accuracy and presentation.
4. Support with all business support related tasks for the service and other stakeholders by taking appropriate action including; dealing with incoming calls, email correspondence, organising meetings. Data management including; scanning, archiving, logging and distributing data, and participating in reviews of business processes and systems to drive increased back-office efficiencies.
5. Act as a lead officer on nominated issues or providing cover in the absence of senior colleagues.
6. Maintain various administrative related manual or electronic systems, including specialised IT systems such as bundling software, Sinerix electronic signature. Be able to respond to queries and interrogate a number of IT systems and be able to produce appropriate outputs, e.g. collated data, evidence and information, reports, charts, and presentations.
7. To be responsible for maintaining and monitoring the service’s records management processes, ensuring all business activities are completed promptly in line with retention schedules and to a high standard.
8. To be a super user, developing, managing and monitoring manual and electronic systems, advising and ensuring the team meets requests accurately and efficiently. To act as an ICT champion for Governance and Assurance investigating how new technology can assist in the delivery of a first class service.
9. To be responsible for undertaking and ensuring that services finance processes are completed accurately and in compliance with financial regulations.
10.Participate in projects led by others, involving fact finding, hands-on practical assistance where requi red, research, maintaining project plans and schedules etc.
11.Undertake other duties appropriate to the post that may reasonably be required from time to time
