Description
We seek a skilled and experienced Executive Support Assistant to provide two Housing Directors with reliable, confidential, and proactive administrative support. The successful candidate will be expected to cover the following duties: extensive diary and inbox management; taking accurate meeting notes; acting as a key interface between the Directors and internal and external stakeholders; and working collaboratively with the wider Executive Support Team, providing cover for colleagues as necessary.
Responsibility
Provide excellent professional secretarial and administrative service to the Directors. Act as the first point of contact and screen telephone and other enquiries. Initiate appropriate action, deal with enquiries, and help resolve queries where possible.
Essential Qualifications
* GCSE Grade (or equivalent) in English Language and Mathematics.
* Relevant professional level qualification or equivalent experience.
* Advanced – Microsoft Office, Word, Excel, Outlook, social media, and CRM.
Qualifications, Knowledge & Experience Requirements - Criteria-to be Tested at Shortlisting.
* Substantial Executive Assistant experience at the senior level and ability to demonstrate success.
* Experience in dealing appropriately with Councillors, Senior Managers and residents.
* Experience working with senior executives, managing diaries, and dealing with correspondence.
* Experience working with various people, including other teams and departments, politicians, residents, and businesses.
* Experience in dealing with difficult situations and helping find the appropriate solution.
* Excellent IT skills, including word processing, spreadsheets, electronic diary management, internet and e-mail.
* Ability to communicate at all levels with a wide range of telephone and personal callers and staff.
* Ability to confidently maintain positive contacts and relationships with key stakeholders, including Board members and Councillors.
* Ability to take minutes – Essential.
* Excellent written skills.
* Ability to deal effectively with problems and enquiries.
* Ability to exercise tact, discretion and sensitivity.
* Proven ability to deal with confidential matters.
* Demonstrate success as an effective team member.
