Job Description

We are seeking an experienced Maintenance Administrator to join our team. This role is pivotal in ensuring smooth operations within the maintenance department, from managing schedules to coordinating with contractors. Key Responsibilities:

• Manage annual leave/absence records and update V Nexus accordingly.
• Oversee stationery orders for the department.
• Log jobs for contractors and the maintenance team (lads) as needed.
• Assign emails and tasks to the admin team.
• Provide essential administrative support to the maintenance department.
• Ensure contractors are signed in and out daily and update V Nexus with sign-in/out information.
• Follow up on PPM (Planned Preventative Maintenance) tasks as needed.
• Run PM and RM chase-up reports to track outstanding jobs.
• Chase up outstanding PPMs and RMs.
• Produce and maintain rotas for the on-site team, and provide updates as required.
• Manage on-call rotas/sheets, ensuring accuracy and timeliness of updates.
• Reallocate work orders as required.
• Respond to email replies related to chase-ups.

Key Skills & Experience:

• Proven experience in maintenance administration or a related field.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Knowledge of maintenance processes and equipment.
• Proficiency in maintenance management software and tools.
• High attention to detail and problem-solving skills.
