Facilities Administrator

Full time Temp to Perm opportunity!! Immediate start available! Edinburgh Based
Helpdesk Co-Ordinator (Facilities Management)
Monday to Friday 8.00am - 5.00pm
Are you looking for a new exciting role within a very busy environment?Helpdesk• Main point of contact for customer queries, job logging, out of hours bookings and ad hoc business requests
• Diary management and being the first point of contact for engineering workforce and sub-contractors, allocating work to engineers and diary management for regional area
• Raising purchase orders to sub-contractors for reactive works and obtaining ETAs and updates
• Effective hazard management of jobs within designated area
• Working in conjunction with all contract staff to ensure seamless delivery of frontline
• Total Facilities Management solutionReporting• Updating account management with contract statistics and providing figures for monthly KPI reporting.Admin Support• Inputting engineer timesheets, overtime and holiday requests.
• Updating and recording compliance details
• Reviewing and approving supplier invoices for sub contracted works and querying costs where required
• Maintaining databases of supplier contacts, escalations, customer complaints and KPI failure
• Health and Safety
• Be involved within Health and Safety processes.Experience and Qualifications• Strong Customer service skills
• Proven Helpdesk experience
• Experience working with CAFM system
• Strong understanding of Microsoft Office packages
• Knowledge and understanding of property related issues
• Ability to work to strict deadlines and exceptional time management skills.
• Excellent organisation skills
