Portfolio Lead Contract Support (FTC)

CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Portfolio Lead Contract Support (FTC) to join the team located in London.

Role Summary:

Support Finance Manager in liaising with relevant stakeholders on site team member to help them understand functional budgets and to lead the handling of the budgets from an engineering point of view, liaising between the Contract Supports, Engineering team & Finance team

Regular updates with Business contacts on site team to support with timely cost transfers and accurate cost reporting

Raise POs, review, approve, and track associated invoices and support colleagues with supplier setups and manual payments to suppliers; keep invoice pool in a manageable state and help post invoices where required

Support on site finance team with month end adjustments including calculating accruals and accumulated costs; support with variance analysis on cost vs plan, with meaningful commentary and follow up actions

Ensure monthly Head Office reports are raised and carried out by the team, and deep dive into these reports to question any commentary required

Heavy quarterly deep dive for all HO reports to ensure that the contract is up to the best standards

Dynamics champion supporting Finance Manager with the dynamics set up and journal requests; help with legacy COS financials on the dynamics system and reply to all Central teams queries for on account financial/dynamics issues

Ensure Organization chart is up to date; organize all onsite contract reviews and put together the Portfolio Review for the engineering team from a consolidation of the contract reviews with the Engineering lead

Onboarding/Offboarding of all Engineering and Contract Support members following the bank protocols

Ensure all proforma MA billing has been raised and deep dive into when a true up has taken place throughout the quarter; liaise with the FM team to ensure the monthly M&E Planned Pos have been raised and sent to the team

Heavy involvement in CMS debt on account and hold meetings with the AP team and deal with any issues

Go to person on site for all Contract Supports; cover of LW Office & Chester 2 days a week and cover when CS on annual leave

Look after the Annual Subcontractor renewals from start to finish and provide training to engineering team and the contract supports

Ensure all year end tasks are complete and keep on top of all KPI's; carry out/lead quarterly contract support meeting for the on-account team and Contract Support objective planning/PDP's and quarterly appraisal reviews

Advise team of billing and month end cut off's; raise monthly Burden reconciliations and overtime analysis reports

Review of the FTE and payroll file and advise of any discrepancies; deal with any payroll /OT issues from the team if escalated

Ensure all Overhead costs (phone bills etc) are correct, and purchasing of any equipment

Support ad-hoc requests from Leadership team

Experience Required:

Higher educational qualifications to 'A' level or degree (or equivalent); highly numerate

Excellent PC based skills, with experience in Word, Excel, PowerPoint, and Outlook - intermediate to advanced level skills are essential (lookups and pivots essential)

Organised and open to new ways of working to challenge inefficiencies

Excellent communication skills both written and verbal, and able to communicate with people at all levels across the business and develop effective relationships at all levels

Working in an environment where delivering financial information within tight timescales is a pre-requisite

Demonstrable experience working with complex financial and operational information systems and controls in a large business that provides consistent and reliable information

Able to exercise an attention to detail which will be paramount to delivering the required job performance levels

Self-motivated, reliable & flexible team player, who can work on own initiative

Calm manner, able to work under pressure and with changing demands and priorities

Excellent organisational skills and is results/task orientated
