The Project administrator will be responsible for providing a range of support functions to the Further Education Systems, Technology and Services Project.
The Systems, Technology and Services Project is a key strand of the programme which will provide transformed service provision, unified information and technology systems for the Further Education sector in NI. Within the project there will be a number of smaller projects which will be of varying degrees of scale and complexity, which may run concurrently and may be inter-related.
The successful candidate will be responsible for any or all of the following duties:
Assist in drafting and professionally presenting project business case(s), feasibility reports, contract specification(s) and tender documentation for supplies of packages of work and work programmes on the Systems, Technology and Services Project.
Assist with the preparation of presentations to and meetings with stakeholders, recording and promoting good communications on the project, using a variety of media.
Monitor and manage the documents, files, registers, logs and minutes on the project including revision control using a digitised project platform
Develop, implement and monitor project operational systems and administrative policies and procedures ensuring compliance with guidelines and best practice.
Provide support to the Gateway review process, collating evidence files and
documentation and making relevant arrangements.
Provide support for effective project governance. Attend as required the Project
Board, the Implementation Team and relevant User groups. Ongoing liaison with
a range of project stakeholders, including College staff, relevant Departmental
staff, potential suppliers and other parties.
Carry out research on relevant innovative approaches and background aspects to
support project development, using a variety of approaches.
Assist with project delivery work to include procurement, project management,
implementation plans, logistics, evaluation and other areas.
Provide administrative support for Project Director and other relevant Project staff.
Assist in preparation of progress reports and attend meetings to report on
Activities, including progress and performance reporting.
Assist with preparation of project financial claims and ensure sound financial
administration in all aspects of the Project, in accordance with the relevant public
sector financial regulations.
Make arrangements for Team meetings and all other Project meetings, workshops
including bookings, communications, agenda and papers. Attend relevant
meetings and promote team ethos.
Assist with calendar bookings/meeting invites.
Communicate with staff at other colleges/organisations
General admin duties
A minimum of a level 4 qualification (or higher) in a relevant subject area e.g.
HNC/D in ICT, Business Studies, Administration, Media/Communications
OCR/RSA Stage 2 (Parts I & II) Word Processing or equivalent.
GCSE English (Grade A*-C) or Essential/Key Skill Level 2 (or higher) in
Communication or equivalent.
GCSE Mathematics (Grade A*-C) or Essential/Key Skill Level 2 (or higher) in
Numeracy or equivalent.
At least 1 years' experience within the last 5 years working on a significant project
or providing support at Board level.
Experience in the preparing presentations and complex documentation in a highly
