Executive Administrator - £30,000-35,000 per annum- 18 month contract- London Paddington or Reading (Flexible working from home)
Typical day in the role is extensive and accurate calendar management, booking travel, attending necessary business calls, liaising with the team regarding upcoming events/settings, ensuring briefing calls are in place before travel, answering constant influx of emails, updating internal tools and raising Pos.
Executive Admin Support
Segments: CEE OCP SMC
Pro-active diary management working across multiple time zones and 36 countries, responsible for keeping an overall view of the diary and ensuring that there is an optimum schedule for the meetings.
Act as an ambassador and key contact for all matters related to the GM's office, constantly feeding back to the GM
Ensuring all briefing papers and supporting information for internal / external meetings are given to the GM/Director in a timely manner.
Co-coordinating domestic and international travel on behalf of the GM/Director including accommodation, transfers.
Book meeting rooms, catering and AV for GM/Director's meetings.
Maintain the ROB ensuring that the GM/Director is informed of any potential clashes and rescheduling as appropriate.
Preparing expenses for GM/Director.
Managing logistics for all internal and external meetings / presentations for GM/Director
Delivering high quality and timely responses to incoming telephone calls, emails and correspondence.
Group Business Support (supporting approx. 20 people)
Provides group support in an effective, timely and professional manner including:
Scheduling and co-ordination of group meetings/off-sites, including logistics, catering etc.
Oversee and drive important deadlines for the GM and the LT, always working closely with HR on important milestones
Assisting Segment LT teams (and extended teams) on administration matters where time allows.
Organizing travel itineraries for the Group where needed.
Ownership of internal processes, including MyOrder creating Purchase Orders, tracking invoices, ordering Hardware/Software/Procurement.
Updating and monitoring Org Charts, team aliases, Segment SharePoint sites.
Providing administrative assistance to ad hoc Group projects i.e. MS Poll / team culture
Provides effective GM/Director and Group support and enables all staff within segments to work as efficiently and effectively as possible.
Presents a professional image on behalf of the Group, both internally and externally, at all times.
Maintains and seeks to improve admin processes on behalf of the Group.

Demonstrates ownership, tracking and follow through to resolution on all queries and issues.
Self-motivated, hands on, can do attitude
A minimum of two years' experience operating at PA level
Experience working across multiple time zones
Proficient in Outlook and office skills
Organised and efficient, able to prioritise and forward plan
Ability to deal with numerous competing demands and range of different people
Ability to prioritise effectively
Work to tight deadlines, multitask, work under pressure
Excellent Knowledge of MS Outlook and Word
